Carriers assess the object handed over for dispatch. Measure the closed parcel with the real product, protection, hardware, instructions, labels and closure—not the CNC drawing, empty box or supplier’s nominal internal size. Record the largest external dimension in each axis and the complete dispatched weight.
Prepare a representative parcel
Use a product that reflects normal variation and has its final finish properly cured. Include every loose component and the same amount of protection used in routine fulfilment. Fold, tape or seal the pack using the documented method. If staff can close it in different ways, that process variation should be resolved before measurement.
Have a rigid rule or suitable tape for long dimensions, a square or flat reference to locate bulges and a scale appropriate to the parcel’s weight. Check measuring equipment against a known reference or manufacturer guidance. A kitchen scale near its capacity may not give useful parcel evidence.
Measure the maximum in every axis
Place the parcel on a flat surface without squeezing it. Determine length, width and depth according to the carrier’s current method. Measure between the furthest external points, including bowed panels, folded seams, handles, protruding closures and local cushioning bulges.
For a soft mailer, do not press the contents flatter to report a preferred thickness. A slot gauge specified by the carrier may be relevant for some formats; follow current official instructions rather than improvising. Photograph the measurement positions and record units, equipment, pack revision and date.
Repeat the process. Timber thickness, finish, hardware placement and manual packing can change the maximum. A product near a service threshold deserves several samples and a deliberate margin, not one favourable reading.
Weigh the dispatch, not the product
Zero the scale appropriately and include the product, retail wrap, outer pack, protection, documents, tape, label, accessories and promotional inserts. Record both measured weight and any working allowance used for variable items. Then compare with the specific service’s current weight steps; the maximum accepted weight alone does not determine the price.
For bundles, build the real supported combinations. Two products may need a larger box and more protection, so doubling a single-item weight and reusing its dimensions is unreliable. Decide how unsupported combinations are handled in the shop.
Dimensional and volumetric weight
Some parcel services charge or assess using dimensions as well as scale weight. The formula, divisor, rounding and units belong to that carrier and service. Retrieve the current official method and preserve it with the calculation. Never reuse a remembered courier divisor across carriers.
Record the raw dimensions before rounding, then apply the official calculation transparently. If packaging changes, recalculate. A light but bulky wooden assembly can be affected even when its physical weight appears modest.
Example measurement session
For a layered house-number plaque in a corrugated book wrap, catalogue dimensions may not match the finished parcel. Once the wrap is closed around the product, corner pads can create a raised area and the overlap may sit unevenly.
Using two flat boards as external references, the seller identifies the maximum depth at the corner pad. The label and tape are added, and the complete parcel is weighed. Three more samples reveal that one folding sequence produces more bulge. The packing instruction is changed to control pad position and closure order.
The seller checks the intended carrier’s current measurement guidance and service table from official sources. The result is stored as package revision PK03 with photographs. When a thicker finish layer and new wall fixings are introduced, the measurement is repeated rather than assumed from PK03.
CNC and design implications
Pass an evidence-based packed envelope to Wood to Spec if it constrains product geometry. Identify where the product can rotate, nest or separate and which functional dimensions cannot move. Do not ask the CNC drawing to include a postage price or guarantee a final carrier classification.
Where a detachable component is proposed, define joint fit, hardware and customer assembly. A narrower machined part may still produce a larger parcel if it needs more protection or loose components.
Measurement problems to prevent
Reading the product dimensions from CAD. Packaging and closure determine external size.
Using internal box dimensions. Carrier limits concern the finished outer parcel; supplier dimensions may also be nominal.
Ignoring the thickest local point. Seams and hardware pockets can set the maximum depth.
Weighing before labels and inserts. The dispatch weight includes everything sent.
Testing one carefully packed example. Routine variation needs sampling and a stable work instruction.
Rounding down or mixing units. Preserve raw measurements, use consistent units and follow official rounding rules.
Applying one volumetric formula everywhere. Capture carrier, service, units, divisor and source date.

Which side is length?
Carrier conventions vary. Measure all three external maxima first, then apply the current official orientation and format rule for the chosen service.
Can I use packaging supplier dimensions?
Use them for initial selection, not final evidence. Manufacturing tolerance, contents and closure can change the actual dispatched dimensions.
How much spare room should I leave below a limit?
There is no universal allowance. Base it on observed product, pack and measurement variation with a conservative operating rule. Avoid designing exactly to a maximum.
Should customer returns use the same measurements?
Plan whether the pack can be reclosed and how instructions support returns. A customer-repacked parcel may differ, so do not promise eligibility without considering that route.
